Information for stand contractors - Dental Expo CEDE 2021


Notification of stand contractor, ordering of assembly tags / ID badges.

Registration of stand contractor and ordering of badges and entry cards for the time of assembly/disassembly should be submitted by filling in Form Z available in the Exhibitor's Panel.
In order to fill in the form, the Contractor needs to create an account in the on-line system beforehand. The accounts established during the previous editions of CEDE are still valid.

Technical conditions for stand construction

Stand construction must be designed and executed in accordance with :

Contractor / exhibitor insurance

In accordance with the exhibition regulations (p. 12), the Exhibitor/stand contractor shall take out civil liability insurance and shall insure his property located on the fair grounds (exhibits, equipment and devices on the stand, elements of stand construction and furnishing, private belongings, company vehicles, etc.) both for the duration of the fair and for the period of assembly and dismantling. A copy of the policy should be sent together with the Z form.

Stand design, electrical connections, additional services

For detailed information regarding the space ordered by the Exhibitor (location of connections, dimensions, shape, permissible building height, possibility of making suspensions, etc.), please contact us by e-mail: cede@cede.pl.

Orders for electrical connections shall be placed by the Exhibitor or the Stand Contractor if the latter is the payer for the ordered services.
Orders should be placed on form E available in the Exhibitor's Panel.
The order for additional services shall be sent to the e-mail address cede@cede.pl upon prior arrangement with the Organiser.

Safety rules

Entry to the CEDE 2021 exhibition area will be possible upon presentation of both:
- exhibitor's / subcontractor's badge (badges are personalised and non-transferable)
and
- European Union Digital Covid Certificate (EU-DCC).
Presentation of the EU DCC code is voluntary, however failure to show it will not allow participation in the CEDE 2021 exhibition.
This means that the following people will be allowed on the exhibition grounds:
Fully vaccinated 
With "recovered" status 
With a current negative COVID test result 

The above rules apply to Exhibitors and subcontractors (e.g. suppliers or stand builders). The safety of each and every one of us is our top priority, and we believe you will accept these rules with understanding. 

A COVID-19 testing point (antigen test, nasopharyngeal swab) will be open in the Atlas Arena during the CEDE exhibition.
The test costs PLN 97 (payment only by card or phone)

Approval of the stand design

The stand designer / contractor is obliged to submit the stand design to the Organiser for approval. The documentation can be sent by e-mail to cede@cede.pl.
The documentation sent in for approval should include:
- the design of the stand, at least in two projections with dimensions, and in the case of constructions higher than 2.5 m, static and resistance calculations signed by a licensed person or a stamp of a person with a building licence,
- statement of the stand contractor.
The completed statement can be emailed to the Organiser's address cede@cede.pl and delivered in person or completed on site before the stand assembly begins.

Assembly of stands
4.10.2021   from 7.00 a.m. till 11.00 p.m.
5.10.2021   from 7.00 a.m. till 11.00 p.m.
6.10.2021  from 8.00 a.m. till 20.00 p.m. – all "dirty" assembly work is prohibited on this day!

The Stand Contractor extending the assembly works beyond the hours specified in the exhibition regulations will be charged for additional work on the pavilion for each commenced hour of the extension and for additional pavilion security. The scope of protection shall be determined by the Organiser.

After completion of stand assembly, the shell scheme contractor is obliged to carry out cleaning work (vacuuming, tidying, removal of protective film, etc.).

The Organiser reserves the right to modify the hours of assembly and disassembly of stands for technical and organisational reasons.
All "dirty" assembly works should be completed by October 5. 2021 until 8.00 p.m.
Failure to comply with the above requirement will result in the Organiser carrying out cleaning works at the cost and risk of the exhibitor/stand contractor.

Dismantling of stands

9.10.2021 from 6.00 p.m. till 11.00 p.m. (*)
10.10.2021 from 7.00 p.m. till 11.00 p.m.

(*) The dismantling of the stand before the end of the exhibition is forbidden. It may start at the earliest 2 hours after the closing of the exhibition to the public.

After the dismantling is finished, the Executor/Exhibitor shall remove all remains after dismantling and remove the assembly tapes from the hall floor in their entirety. Only tapes which allow for their complete removal from the floor shall be used.

Admission to the Atlas Arena

Access to the pavilion and the Atlas Arena area during assembly and dismantling on the basis of assembly badges and entry cards ordered in form Z – "Stand contractor form". On arrival at the Atlas Arena please contact Marek Wiktorowski (mobile +48 602 365 147) to collect them.

Access to the Atlas Arena by car through the gate from Bandurskiego Street in order to collect assembly tags will be possible from 6.00 a.m. on the basis of a one-time entry card handed in to the security at the entrance. The entrance to level -1 for unloading/loading is from the side of the stadium (see General Layout, p.5).

It is strictly forbidden to park cars on level -1 (in the so-called "moat"). Any vehicle left behind will be towed away at the owner's expense.

It is not allowed to leave vehicles on the fair grounds:
- during the trade fair - after 8 p.m.
- during assembly and dismantling - after midnight.

LOADING/UNLOADING

Assistance with unloading and loading is offered by the forwarder PMST TRANSMEBLE INTERNATIONAL Ltd.

Price list of services:
1. Unloading and delivery to a stand (one turn):
      - per 100 kg PLN 25,00
      - minimum for shipment of one exhibitor PLN 250.00

2. Loading from the stand (one turn):
      - per 100 kg PLN 25,00
      - minimum per shipment for one exhibitor PLN 250.00
(one turn means moving each package from the vehicle to the stand or vice versa in one uninterrupted process of equipment operation)

3. Forklift truck hire with a lifting capacity of up to 3 tonnes - for every commenced 15 min. PLN 150

Entry rules for vehicles on the last day of the exhibition, i.e. October 9, 2021.

Entry for the collection of exhibits, materials, building elements, etc. will be possible after 5.00 p.m. for the following vehicles

Large trucks, trucks with trailers, other large and specialist vehicles are welcomed on October 10 from 7.00 a.m. For organisational reasons, please call Mr Marek Wiktorowski (mobile +48 602 365 147) prior to arrival.

PLEASE PAY PARTICULAR ATTENTION, ESPECIALLY AFTER THE START OF DISMANTLING, TO SECURING SMALL EXHIBITS AND PERSONAL ITEMS ON STANDS AND IN VEHICLES.
